ABOUT PORTO & POSITION:
To support our European intensive growth, the Group has decided to build a large Shared Services Center based in Porto. In this context, we are seeking a Solutions Administrator to join our Shared Services Centre and support the overall ongoing Transformation Program.
Key Responsabilities:
- Maintaining and providing support for end-users for;
- One Cross application tool: Doxis (Electronic Document Management platform);
- Our financial tools: BPC (Management consolidation), BFC (Statutory consolidation), Supervisor (Risk Discovery and Monitoring Platform), Lease (IFRS 16), Cegid Tax Ultimate (Tax Management);
- Our legal tools: Legisway (Contract Management) Dilitrust (governance of legal entities), Delta RM (Risk Management), Oodrive (Digital management of governance meetings), Upright (Ethics & Compliance Governance & Reporting).
System Administration:
- Handle calls/emails/Teams/tickets from users(management controllers, finance and CFOs, legal, internationally):
- reception, ticket recording, qualification, diagnosis. Resolve as many tickets as possible while respecting processing times;
- Creation of users in Azure Active Directory;
- Grant access to the VDI;
- Create access in the applications;
- Monitor assigned tickets. Follow up and/or manage major incident tickets and/or problem tickets as part of continuous service improvement;
- Apply necessary actions to maintain service quality such as: Ensuring proper application of rules and instructions; Assign tickets (SLA);
- Following up in the absence of responses from users; Following up and reminders with level 2 and 3 support teams;
- Functionally escalate tickets to other DSI support groups. Perform technical and managerial escalations;
- Actively contribute to knowledge management by enabling information sharing, deploying self-service, and improving team performance;
- Creating and/or revising knowledge articles based on ticket analysis or user feedback;
- Ensuring knowledge adequacy with performed actions (creation/update of guides/procedures);
Provide support to end-users, addressing technical issues and questions related to:
- Develop and deliver training programs for new users;
- Able to understand and define the real needs and requirements of various stakeholders;
- Understanding of document management principles, workflows, and governance;
- Network and communications (basic knowledge: Topologies, TCP/IP);
- Windows system, particularly in network connectivity;
- Ticket qualification methodology;
- Ticket diagnosis methodology;
- ITIL foundation (certification Is a plus);
- Time management methodology(SLA).
Minimum/Essential Skills/Qualifications
- Engineering/ Economics or Business Administration/ Technology bachelor's degree (or equivalent years of experience). [BAC+3];
- Experience with process automation and workflow design in Intelligent Content Automation / Electronic Document Management;
- Familiarity with SQL and database management principles;
- Proficiency in ServiceNow, Microsoft M365 solutions, and workstation hardware;
- ITIL methodology knowledge;
- Creation of users in Azure Active Directory;
- Fluent English.
