ABOUT PORTO & POSITION:

To support our European intensive growth, the Group has decided to build a Center based in Porto with the aim to provide administrative and financial support to the European subsidiaries. In this context, we are seeking for a Expenses and procurement administrative technician english speaker.

 

 KEY RESPONSIBILITIES:

 

Procure-to-Pay (P2P) Administration (~60%):

  • Create Purchase Orders (POs) in SAP and verify compliance with Delegation of Authority (DOA) before issuance,
  • Ensure correct analytical coding for all transactions, including cost centre and project allocation,
  • Monitor open PO commitments and proactively chase requisitioners or budget holders to resolve aged or unmatched items
  • Maintain complete and well-organised supporting documentation to facilitate internal and external audits,
  • Liaise with the Accounts Payable team to resolve invoice-to-PO matching discrepancies in a timely manner,
  • Track GRN (Goods Receipt Note) entries and flag outstanding receipts to relevant stakeholders,
  • Support period-end accruals by providing accurate open commitment and receipt data,
  • Assist in the development and continuous improvement of P2P process documentation and controls,
  • Respond to vendor and internal queries relating to purchase order status and payment timelines.

Expenses Administration (~40%):

  • Manage consultants' expenses and process expense claims in accordance with agreed deadlines,
  • Verify original receipts, travel distances, and compliance with IGD France or International standards,
  • Ensure consistency between expense claims, monthly activities, and travel requests,
  • Manage and validate 'To be authorised' expense claims, following up with managers as needed,
  • Guide employees in entering information into the expenses portal and make corrections where required,
  • Validate data consistency and accuracy submitted by employees and managers,
  • Process expense advances and manage subsequent recoveries,
  • Alert the line manager in case of recurring difficulties with employees or managers.

Minimum/Essential Skills/Qualifications

  • With a bachelor’s degree, you have some initial experience or a significant work placement in administrative management,
  • You have a good level of English and knowledge of English is appreciated,
  • Knowledge of SAP software is a plus,
  • Rigorous, organized, and responsive, with good interpersonal skills and a sense of service, you enjoy working in a team and would like to join a dynamic department as soon as possible.
