ABOUT PORTO & POSITION:
To support our European intensive growth, the Group has decided to build a large Shared Services Center based in Porto. In this context, we are seeking a EDM Specialist to join our Shared Services Centre and support the overall ongoing Transformation Program.
We are seeking a highly skilled and detail-oriented Intelligent Content Automation/ Electronic Document Management Specialist to oversee the effective use and management of our Doxis platform.
This role will be crucial in ensuring the proper configuration, maintenance, and optimization of the Doxis system, as well as providing ongoing support for end-users. The ideal candidate will have a strong understanding of document management processes, excellent problem-solving skills, and the ability to collaborate cross-functionally to improve our organization's document management efficiency.
Key Responsibilities:
System Administration:
- Manage the day-to-day operations of the Doxis (Intelligent Content Automation/ Electronic Document Management) tool, ensuring optimal system performance and availability;
- Perform regular updates and troubleshooting to maintain system integrity;
- Configure and customize Doxis to meet the organization's specific needs, including workflows, metadata, and access controls;
User Support and Training:
Provide support to end-users, addressing technical issues and questions related to Doxis usage; - Develop and deliver training programs for new users and refresher courses for existing users to ensure effective tool adoption;
- Troubleshoot and resolve user-reported issues related to document retrieval, storage, and workflow;
Document Lifecycle Management:
- Oversee document capture, classification, storage, retention, and disposal in accordance with organizational policies;
- Implement and monitor security measures to ensure compliance with legal and regulatory standards;
Integration and Optimization:
- Collaborate with IT and other business units to integrate Doxis with other enterprise systems (ERP, CRM, …);
- Continuously assess and recommend improvements for system functionality, performance, and user experience;
Reporting and Analytics:
- Generate reports and dashboards to track document usage, user activity, and system performance;
- Analyze data to identify trends, bottlenecks, or areas for improvement in document management processes.
- Able to understand and define the real needs and requirements of various stakeholders;
- Problem resolution, negotiation/communication, and influencing skills;
- Proven experience working with Doxis or similar Intelligent Content Automation/ Electronic Document Management (OpenText, SharePoint, etc.);
- Strong understanding of document management principles, workflows, and governance;
- Technical proficiency in Intelligent Content Automation/ Electronic Document Management configuration, administration, and troubleshooting;
- Excellent communication skills in English, both verbal and written, with the ability to train and support users at various technical levels;
- Strong problem-solving skills and the ability to work both independently and collaboratively.
Qualifications and experience:
- Engineering/ Economics or Business Administration/ Technology bachelor’s degree (or equivalent years of experience);
- Master’s degree in Business or Technology will be high valuable;
- From a minimum of 5 years of experience working around Intelligent Content Automation/ Electronic Document Management tools;
- Knowing Doxis is a plus;
- Experience with process automation and workflow design in Intelligent Content Automation/ Electronic Document Management;
- Knowledge of integration techniques and tools for linking Intelligent Content Automation/ Electronic Document Management with other enterprise applications;
- Familiarity with SQL and database management principles.
